Overview
A new Company-Wide Workflows section has been added to the Workflows page for users with Manager or Company Admin access.
This feature gives managers and company administrators broader visibility into active workflows across the company. Instead of only seeing workflows assigned to them or requested by them, authorized users can now view active workflows company-wide and monitor where each item is in the process.
Where to Find It
Go to the Workflows page.
Managers and Company Admin users will see an added section titled:
Company-Wide Workflows: Active which will display the current workflow Status
Workflow Status Definitions
In Work means the Assignee has been notified that they have a workflow in their queue. The workflow is waiting for the Assignee to complete their required action.
Completed means the Assignee has completed their action. For a Documentation Folder, the workflow may then move to the next reviewer if additional review levels are required. If no additional review levels are required, the workflow is complete.
In Revision means the Assignee has red flagged an item and returned it to the Requestor with feedback. At this point, the workflow is back in the Requestor’s queue for updates or corrections.
Not Started means the Assignee has not yet been notified that they have a review action. This status is shown when there are multiple signature levels and each level must be completed before the next reviewer is notified. For example, if Level 2 review cannot begin until Level 1 is complete, the Level 2 workflow may show as Not Started until the prior level has been completed.
Date Completed field functions the same way it does today. However, each step in a multi-step review is assigned its own Date Completed value. This means that if a workflow has multiple review levels, each reviewer’s completed action will have its own completion date.
Why this Matters
The Company-Wide Workflows section gives Managers and Company Admins better visibility into active workflow activity across the company.
This helps to:
- See which workflows are currently active.
- Identify who is responsible for the next action.
- Track how long a workflow has been open.
- Determine whether a workflow is waiting on a reviewer, waiting on the requestor, not yet started, or completed at a specific review step.
- Monitor multi-step reviews more clearly.
